Björn Acker says he used to write his invoices simply with Pages. Now his Heidelberg-based Encoder GmbH uses Qwit to guide freelancers through the entire process on the Mac: entering company details, adding customers and creating an invoice. The app is available for Mac and iPhone and is aimed primarily at small service providers.

The specific reason comes before January 1, 2027. From this deadline onward, companies and sole proprietors with revenue of 800,000 euros or more must use the electronic format prescribed by the tax authorities when invoicing business customers. Business customers will only be able to claim amounts of 250 euros gross or more for tax purposes if the invoice is available digitally in a specific standard.

Technically, Qwit uses ZUGFeRD in accordance with EN 16931. The format combines a readable PDF with the necessary XML data—in other words, structured invoice information in text form. XRechnung 3.0 can also be generated for public-sector clients. Qwit checks mandatory information and locks the invoice after export; changes are saved. According to the developer, the data remains on the Mac and can be synchronized via iCloud.

What happens next? For freelancers who have previously worked with Pages, the workload is reduced mainly in areas that are not immediately visible: checking mandatory information, generating a suitable e-invoice format, monitoring payment status and sharing invoices from an iPhone. The free version covers five invoices per month. Unlimited invoices and additional features are available for 40 euros per year or 120 euros as a one-time payment.

The start has not been entirely trouble-free. During heise online’s brief test, Qwit crashed once under macOS when the invoice number was changed. The error occurred only once. According to the developer, the app does not require a server, user account or trackers.
